My First Encounter with the 5S Method

I was first introduced to the 5S concept in 1999, when I had just entered the working world. At the time, our organization adopted this Japanese system to improve workplace efficiency and discipline.

I still remember it vividly:

  • I had a 5S folder on my desk.

  • There was a 5S corner in the office.

  • And even a dedicated 5S Day when everyone would stop work to tidy, clean, and reorganize.

Back then, I thought it was just another corporate exercise. But over the years, I realized how powerful and practical this system really is—not just for organizations, but also for our personal lives.

For those who struggle with clutter, procrastination, or staying organized, 5S is a lifesaver. It’s not about perfection. It’s about creating a system that works for you and allows you to focus on what truly matters.


What is the 5S Method?

The 5S Method originated from Japanese manufacturing practices, particularly Toyota’s Lean production system. It is a simple, structured way to create order and efficiency in any environment—whether in factories, offices, or homes.



The 5S stands for:

  1. Sort (Seiri): Remove unnecessary items and keep only what’s needed.

  2. Set in Order (Seiton): Organize everything so that it has a proper place.

  3. Shine (Seiso): Clean and maintain tidiness regularly.

  4. Standardize (Seiketsu): Create routines and systems to maintain order.

  5. Sustain (Shitsuke): Make the practice a habit and part of your lifestyle.

At its core, 5S is about clarity, simplicity, and consistency.


Why 5S is More Than Just Cleaning

Let’s be clear—5S is not just about tidying up. It’s about mindset and discipline.

Think about this: when your desk is messy, your mind feels messy. When your home is disorganized, your thoughts feel scattered. But when your environment is in order, you feel calmer, more focused, and more productive.

In fact, research shows that clutter can increase stress, reduce productivity, and even negatively affect mental health. On the other hand, organized spaces create a sense of peace and control.


5S and the Islamic Perspective

As Muslims, we already know the importance of cleanliness and order. Islam teaches us that cleanliness is half of faith.

The Prophet ﷺ said:

“Cleanliness is half of faith.”
(Sahih Muslim, 223)

This hadith isn’t just about physical hygiene—it’s about how we live our lives in an orderly and disciplined manner.

The Qur’an also highlights the value of purity and cleanliness:

“Indeed, Allah loves those who turn to Him constantly and He loves those who keep themselves pure and clean.”
(Surah Al-Baqarah 2:222)

When we practice 5S, we are not just organizing our homes or workspaces—we are aligning ourselves with a deeper spiritual value: living with clarity, order, and intention.


My Personal Reflection on 5S

Over the years, I’ve come to see clutter as more than just a pile of things. Clutter is a silent thief.

  • It steals our focus.

  • It drains our energy.

  • It delays our decisions.

Every time we see an untidy desk, an overflowing wardrobe, or a messy kitchen, a part of our mental energy gets wasted. Even if we don’t consciously notice it, clutter makes us feel overwhelmed.

But here’s the beauty: when we apply the 5S principles, even in small steps, everything changes.

✅ We think better.
✅ We take action faster.
✅ We produce better results.
✅ We feel lighter and happier.

An organized space = an organized mind.

  • Sustain: Turn tidying into a habit—teach your kids by example.

  • Shine: End each workday with a 5-minute desk reset.

  • Standardize: Build a daily or weekly routine (e.g., Friday = email cleanup).

  • Sustain: Encourage your team to make it a shared culture.

The Prophet ﷺ said:
“The most beloved of deeds to Allah are those that are consistent, even if small.” (Bukhari & Muslim)

Consistency in small, good decisions leads to lasting success in both worlds.


🌟 Why Making Decisions Matters

Many people fear making the wrong choice, so they avoid choosing at all. But this fear is misplaced. Making no decision is, in itself, a decision — and usually the worst one.

  • A wrong decision teaches you a lesson.

  • Indecision teaches you nothing and leaves you stuck.

Successful people, leaders, and believers all share one thing in common: they decide, act, and learn.

👉 Before revelation, the Prophet ﷺ would retreat to the cave of Hira for solitude and reflection. This shows us the power of disconnecting from the world to reconnect with ourselves and with Allah.

Many of us feel guilty when we rest. But rest is not laziness — it’s strategy. It’s how you refuel for what’s ahead.

👉 Allah says:
“And We made your sleep [a means for] rest.” (Quran 78:9)

How often do we feel overwhelmed with endless tasks, deadlines, and responsibilities? No matter how much we do, the list never seems to end. The truth is, productivity is not about doing more — it’s about doing the right things at the right time.

One of the simplest yet most powerful tools to help us organize our lives is the Eisenhower Matrix. Popularized by former U.S. President Dwight D. Eisenhower, this method categorizes tasks based on two criteria: importance and urgency. The result is a simple 2x2 matrix that guides us to act with clarity.


How the Eisenhower Matrix Works

The matrix divides tasks into four quadrants:

  1. Do (Important & Urgent)
    Tasks that require immediate attention. These are crises, deadlines, or urgent responsibilities. Example: Submitting an urgent report, attending to a sick family member.

  2. Plan (Important & Not Urgent)
    Tasks that matter but don’t need to be done right away. These are the things that help us grow, build, and progress. Example: Long-term projects, personal development, or building meaningful relationships.

  3. Delegate (Not Important & Urgent)
    Tasks that are urgent but don’t necessarily require you. These can be assigned to others so you can focus on what matters most. Example: Routine administrative tasks, errands, or tasks that can be automated.

  4. Delete (Not Important & Not Urgent)
    Tasks that add little value. These are distractions that waste time. Example: Excessive scrolling on social media, unnecessary meetings, or tasks that neither align with your goals nor your values.


Productivity Through an Islamic Lens

While the Eisenhower Matrix is a modern management tool, its principles resonate deeply with Islamic teachings. Islam has always emphasized prioritization, time management, and focus on what truly matters.

1. Aligning Priorities with Faith

Our ultimate priority is our relationship with Allah SWT. This is why the 5 daily prayers (solat) are spread throughout the day — they anchor our time and force us to pause, realign, and refocus.

Allah SWT says:

“Indeed, prayer prohibits immorality and wrongdoing, and the remembrance of Allah is greater.” (Surah Al-‘Ankabut 29:45)

Prayer is in the Do Now quadrant. It is both important and urgent. Nothing else should take precedence over it.


2. Long-Term Planning with Purpose

The Plan quadrant reflects actions that are important but not urgent — like building skills, learning, or preparing for the hereafter. The Prophet ﷺ advised us:

“Take advantage of five before five: your youth before your old age, your health before your sickness, your wealth before your poverty, your free time before your preoccupation, and your life before your death.” (Hadith – Al-Hakim)

This hadith is essentially a call to proactive planning. Don’t wait for urgency to force action — use your free time wisely before life becomes overwhelming.


3. Delegation and Collective Responsibility

The Delegate quadrant teaches us to share responsibilities. In Islam, leadership is about shura (consultation) and teamwork. The Prophet ﷺ himself delegated tasks to his companions according to their strengths. By doing so, the community grew stronger together.

Delegating is not a weakness — it is wisdom. It frees us to focus on the things only we can do, while empowering others to contribute.


4. Eliminating Distractions

The Delete quadrant reminds us to cut out what is unimportant. In today’s world, distractions are endless — from excessive entertainment to mindless scrolling. The Quran reminds us:

“And the worldly life is nothing but amusement and diversion; but the home of the Hereafter is best for those who fear Allah.” (Surah Al-An‘am 6:32)

When we minimize distractions, we reclaim time for what matters: worship, family, learning, and meaningful work.


Practical Steps to Apply the Eisenhower Matrix in Daily Life

  1. Make a list of all your tasks.
    Write down everything that’s on your mind — big or small.

  2. Sort tasks into the four quadrants.
    Ask yourself: Is this important? Is it urgent? Where does it belong?

  3. Act with intention.

    • Do immediately what is important & urgent.

    • Schedule what is important but not urgent.

    • Delegate what doesn’t need your direct involvement.

    • Delete distractions without guilt.

  4. Revisit daily.
    Just like we check in with our prayers five times a day, we should also check in with our priorities regularly.


Bringing It All Together: Productivity with Barakah

The Eisenhower Matrix is more than just a productivity hack. It’s a reminder that life is short, time is precious, and barakah (blessings) come when we prioritize correctly.

When we make Allah our number one priority, everything else falls into place. As the Prophet ﷺ said:

“Whoever makes the Hereafter his concern, Allah will place richness in his heart, bring his affairs together, and the world will come to him though he does not desire it.” (Hadith – Ibn Majah)

💡 Action Step Today: Take 10 minutes to draw the Eisenhower Matrix. Write down your tasks and see where they belong. Then ask yourself: Am I prioritizing dunya over akhirah, or akhirah over dunya?
